Before You Begin: Timing and Overview

When to Start

Start the renewal process 60 days before your current permit expires. Yes, that’s two months. No, that’s not excessive. Here’s why:

  • Your work permit renewal takes 5–10 working days
  • Your residence permit renewal takes 7–15 working days
  • You need time to gather documents (some take weeks to obtain)
  • Things go wrong. They always do. Someone gets sick. A stamp goes missing. The system goes down.

The absolute latest you should start is 30 days before expiry. Anything later and you’re gambling with fines of up to ¥500 per day of overstay, and potentially an exit ban.

The Two-Part Process

Renewing your work visa actually means renewing two separate things:

  1. Foreigner’s Work Permit (外国人来华工作许可证) , issued by the Science, Technology and Innovation Commission (STIC, formerly SAFEA)
  2. Residence Permit for Work (工作类居留许可) , issued by the Exit-Entry Administration of the Public Security Bureau (PSB)

You must renew the Work Permit first, then use the new Work Permit to renew your Residence Permit. You cannot do these in parallel. You cannot skip steps. The system is sequential, like a video game where you need to collect the key before opening the door.

Required Documents Checklist

For Work Permit Renewal

Your employer’s HR department typically handles this, but you should know what’s required:

  • Application Form for Foreigner’s Work Permit , completed online, printed, stamped by employer
  • Current Work Permit , original and copy
  • Passport , original and copies of photo page, current visa page, and all pages with Chinese stamps
  • Recent passport-style photo , white background, 33mm × 48mm, digital version also required for upload
  • Employment contract , original and copy, must cover the renewal period
  • Tax payment certificates , usually 6–12 months, from the local tax bureau
  • Social insurance payment records , typically 6 months, from Shenzhen Social Insurance Bureau
  • Highest degree certificate , authenticated/legalised (if not already on file)
  • Criminal record check , only if your current permit is expiring after more than 2 years (requirements vary by district)
  • Health examination report , required if your current permit has expired or if you’ve been outside China for more than 6 months

For Residence Permit Renewal

Once you have the new Work Permit, you’ll need:

  • Application Form for Visa/Residence Permit , completed at the PSB or online via Shenzhen Public Security Bureau WeChat mini-program
  • Valid passport , original and copies (same as above)
  • New Work Permit , original and copy
  • Temporary Residence Registration Form (境外人员临时住宿登记表) , from your local police station or via i Shenzhen APP
  • Recent passport-style photo , white background, 33mm × 48mm (same as Work Permit photo)
  • Employer’s business licence , copy with company stamp (usually handled by HR)
  • Letter of guarantee , from employer, on company letterhead with stamp

Document Notes

Photos: Get more than you need. Seriously. The photo requirements are specific, and different offices sometimes have different interpretations of “white background”. Bring six photos. You’ll use four. Keep two as spares.

Passport validity: Your passport must have at least 18 months validity remaining. If it doesn’t, renew your passport at your embassy before starting the visa renewal process. A new passport mid-renewal will complicate things enormously.

Step 1: Online Application (Day 1–2)

Your employer’s HR administrator logs into the Foreigner’s Work Permit Management System (外国人来华工作管理服务系统) and submits the renewal application.

What happens:

  • All documents are uploaded as scanned PDFs
  • The system performs an initial automated check
  • Your application enters the queue for human review

Timeline: 3–5 working days for initial review

What can go wrong:

  • Uploaded files are too large (keep each under 5MB)
  • Photos don’t meet specifications
  • Missing signatures or stamps

Step 2: Document Verification (Day 5–10)

Once the online application passes initial review, you’ll receive a notification to bring original documents for verification.

Common Issues and Solutions

Issue 1: Passport Expiring Soon

Problem: Your passport expires in less than 18 months.

Solution: Renew your passport at your embassy before starting the visa renewal. Once you have the new passport:
